Refund & Cancellation Policy

1. Scope
This policy sets out when you can cancel, when you get money back, and how to ask. It covers every service Learn Factory LLC sells through learnfactory.org: the free diagnostic call, the community subscription, the Strategic Growth Session, the Start, Launch and Scale programmes, Done-For-You engagements, and any standalone digital content.
The policy forms part of our Terms of Service. Where this policy and the Terms differ on a refund question, this policy controls. Where you and Learn Factory have signed a separate statement of work or order form, that document controls for the engagement it covers.
Two things shape every rule below.
First, a fee reserves capacity. When you enroll, a place in a cohort, a slot in a calendar or a block of our team's time stops being available to anyone else. That cost is real whether or not you show up.
Second, digital content is delivered the moment you open it. Recordings, templates and scripts cannot be returned. Once you have them, you have them.
We would rather fix a problem than process a refund. If something is not working, email support@learnfactory.org before you ask for your money back. Most issues are a scheduling conflict, a missing access link or a mismatch of expectations, and all three are solvable.

3. Free Diagnostic Call
The diagnostic call costs nothing, so there is nothing to refund.
Cancel or reschedule it any time using the link in your confirmation email. We ask for a few hours' notice where you can give it, so the slot goes to someone else.
If you do not show up and do not tell us, we may decline to rebook you. That is not a penalty; it is how we keep calendar slots available for people who turn up.
4. Strategic Growth Session and Other Paid One-to-One Sessions
Your fee reserves a specific block of time, plus the preparation we do before it and the written summary we send after.
Cancel or reschedule more than 48 hours before the start time and you get a full refund, or you move to a new slot at no charge. Use the link in your confirmation email, or write to support@learnfactory.org.
Within 48 hours of the start time, the fee is not refundable. We will reschedule you once as a courtesy where our calendar allows it, but we are not obliged to.
If you do not show up, the session counts as delivered and the fee is not refundable. We will wait 15 minutes, then send you the preparation notes we had made.
If you arrive late, the session still ends at its scheduled time. We do not extend it into the next client's slot.
If we cancel or reschedule, you choose: a new slot at no charge, or a full refund.
Dissatisfaction with the advice is not a ground for refund. You bought an hour of senior attention on your business, not a specific recommendation or a result. If we failed to prepare, failed to show up or delivered something unrecognizable as the service described, tell us and we will make it right.
5. Mentorship Programmes (Start, Launch, Scale)
Before your start date. Cancel any time before the programme starts and you get a full refund, less payment processing fees we cannot recover.
The 14-day window. You may cancel within 14 days of your start date and receive a full refund, provided both of these are true on the day you ask:
- you have attended no more than one live session, and
- you have accessed no more than the first module of Digital Content.
"Accessed" means opened, streamed or downloaded any lesson, template or file in a module. Our platform logs this, and we go by the log.
The window runs from your stated start date, not from your payment date and not from the day you first log in. Starting late does not move it.
After the 14-day window, or once either condition above is broken, the fee is not refundable. You have received the part of the programme that cannot be returned: the frameworks, the templates and the thinking.
Pausing. If something serious happens, write to us. We may move you to a later cohort once, at no charge, within 12 months. A pause is a one-off accommodation we grant at our discretion; it is not a right and it does not restart the refund window.
Missed sessions are not banked, carried over or refunded. Recordings of group sessions are made available to your cohort.
If you go quiet for 30 consecutive days, we may close the engagement as delivered after emailing you at least once. No refund follows.
Results are not a refund trigger. You bought access, structure and guidance. The outcome depends on your product, your market and your work, as our Terms and Earnings Disclaimer set out.
6. Community Subscription
The community is a monthly subscription. It renews automatically on the same date each month and charges your payment method until you cancel.
Cancel any time. Use the cancellation option on the community platform, or email support@learnfactory.org. Cancel before your next renewal date and you are not charged again.
Access continues to the end of the month you paid for. Cancelling does not cut you off mid-month.
No refund for the current month, and no pro-rating. If you cancel on day 20 of a monthly cycle, you keep access to day 30 and we do not return the unused portion.
Accidental renewal. If you meant to cancel and a renewal went through, write to us within 7 days of the charge and we will refund that month, provided you have not posted or opened content since the renewal. We do this once per subscriber.
If we close the community or remove a feature you paid for, you receive a pro-rated refund of the current month.
If we remove you for breaching the Terms or the community rules, no refund follows.
7. Done-For-You Engagements
Done-For-You is custom work under a signed statement of work. That document sets the scope, the milestones, the fee schedule and the timeline, and it controls. What follows applies where the statement of work is silent.
Deposit. The deposit reserves production capacity and funds the discovery and planning phase. It is refundable in full until work begins, and non-refundable once it does. Work begins at the earlier of our kickoff call or the first deliverable we start producing.
Milestones. Each milestone is invoiced and paid as it is reached. A milestone you have accepted, or that we have delivered and you have not rejected in writing within 7 days, is complete and not refundable.
If you cancel mid-project, you pay for all completed milestones plus the work in progress on the current milestone, calculated at the hours already spent against the rate stated in the statement of work. Anything you have paid beyond that is refunded within 14 business days.
If we cancel mid-project for reasons within our control, you pay only for completed milestones. We refund everything beyond that and hand over the work in progress in its current state.
Delays caused by you. If we cannot proceed because we are waiting on your content, approvals, access or feedback, the timeline extends day for day. After 30 days of waiting, we may close the engagement, invoice the completed work and release the team. That is not a cancellation by us and does not trigger a refund.
Deliverables. Ownership of completed deliverables transfers to you on full payment for them, as the Terms set out. We do not withhold work you have paid for, whatever the reason for the cancellation.
Third-party costs we incurred for you — advertising spend, stock assets, licences, contractor fees, platform subscriptions — are never refundable, whoever cancels.
8. Standalone Digital Content
This covers anything sold as a file or a recording on its own: a template pack, a workshop recording, a mini-course, a guide.
Access is granted immediately on payment, which is the point of buying it.
Before you access it, you may cancel for a full refund within 14 days of purchase.
Once you have opened, streamed or downloaded any part of it, it is not refundable. There is no way to return a file.
Technical failure. If the content will not open, download or play, and we cannot fix it within 5 business days of you telling us, you get a full refund. Tell us what you tried and what you saw; most cases are a browser or a permissions issue we can solve in minutes.
Content not as described. If what you received is materially different from what the sales page promised, we refund it. A difference of opinion about depth or usefulness is not that.
9. Payment Plans and Missed Payments
A payment plan splits the fee. It does not split the commitment. The full fee is owed for the whole Service, and installments continue on schedule even if you stop participating.
Finishing early does not cancel the remaining installments. Neither does losing interest.
If a payment fails, we retry it and email you. You then have 10 calendar days to bring the account current. Your access continues during that grace period, and we will offer to reschedule the remaining installments at no extra charge. Ask: most people who fall behind are having a cash-flow month, not walking away.
After the grace period, we choose one of two paths and tell you in writing which:
- We keep your access open. The full remaining balance stays due on the original schedule.
- We suspend your access. You then owe only the portion of the Service already delivered, calculated pro rata by week from your start date, plus a late fee of USD 50.
We will not do both. We do not withdraw access and then invoice you for the part we withdrew.
After 30 further days of non-payment, we may terminate the engagement and refer the outstanding balance for collection. You are responsible for our reasonable collection and legal costs.
A payment plan does not extend the 14-day refund window in Section 5. The window runs from your start date regardless of how many installments you have paid by then.
10. How to Request a Refund
- Email support@learnfactory.org from the address on your order. If you use a different address, tell us which order it concerns.
- Include: your full name, the Service, the date of purchase, your start date if you have one, and the reason.
- We acknowledge within 2 business days and give you a decision within 10 business days. If we need something from you to decide, we ask once and the clock pauses until you reply.
- Approved refunds are returned to the original payment method within 14 business days of approval. We cannot send it anywhere else: not to a different card, not to a bank transfer, not to a third party.
- Your bank then takes its own time, usually 5 to 10 business days, before the money appears. That part is outside our control.
What comes back. The amount you paid, less:
- payment processing fees charged by our processor, which are not returned to us
- currency conversion losses where you paid in a currency other than USD
- any third-party costs we incurred on your behalf
For a Service bought on a payment plan, we refund what you have actually paid, not the full listed fee.
Credits. Where a refund is not due, we may at our discretion offer a credit toward another Service instead. A credit is a one-off accommodation, is valid for 12 months, is not transferable and is not convertible to cash. Offering one does not set a precedent.
Decisions. If we decline, we tell you which part of this policy applies and why. You may reply once with anything we missed, and a different person reviews it.
11. If We Cancel or Cannot Deliver
If we cancel a Service before it starts, you get a full refund of everything paid, or a place in the next cohort, whichever you prefer.
If we cannot deliver part of a Service for reasons within our control, you get a refund of the undelivered portion, calculated pro rata, or a comparable replacement. That refund is your sole remedy, as our Terms set out.
If we change a Service materially while you are in it — removing modules, cutting session counts, changing the format — and the change reduces what you bought, you may leave and take a pro-rated refund of the part you have not received.
Force majeure. Events outside our reasonable control — a hurricane, an outage, illness, a government action — suspend our obligations for the duration. We will reschedule rather than refund, and we will not charge you for the delay. If the event makes delivery impossible for more than 60 days, you may cancel and take a pro-rated refund.
Platform outages. If a third-party platform we use goes down, we deliver the affected part by another reasonable means. An outage is not a failure to deliver and does not trigger a refund.
12. Chargebacks
Contact us before you contact your bank. A refund we approve lands faster than a chargeback, and it costs neither of us anything.
If you file a dispute with your bank or card issuer without writing to us first, we may treat it as a material breach of the Terms: suspend your access immediately, and recover the disputed amount, the dispute fees and our costs. Filing a dispute does not release you from fees you owe.
When a dispute is filed, we respond with the evidence we hold: your order and the timestamp of your acceptance of these policies, your access and attendance logs, our correspondence with you, and the delivery record for the Service. We keep these records for exactly this reason.
If you do not recognize a charge, it will appear on your statement as LEARN FACTORY. Email support@learnfactory.org and we will identify it within one business day.
13. Your Statutory Rights
Our Services are sold for business and professional purposes, to people buying in a commercial capacity. Consumer withdrawal rights generally do not apply to a business purchase.
Where mandatory consumer law in your country gives you rights you cannot waive, nothing in this policy limits them. In that case those rights apply in addition to what is written here, and where they are more generous, they win.
If you are a consumer in the European Economic Area or the United Kingdom, you normally have 14 days to withdraw from a distance contract. For digital content supplied immediately, that right ends once supply begins with your express consent and your acknowledgement that you lose the right. You give both at checkout when you tick to start immediately. For services, the right ends once the service is fully performed with your consent.
Nothing in this policy affects your rights in the case of fraud, or where a service was not provided at all.
